Presenter Guidelines 

Oral Presentations

Your cooperation is appreciated in keeping the meeting on schedule for the benefit of all attendees. Please note the following guidelines: 

Authors must be prepared before presenting to allow fast and easy transition from one talk to another to avoid unnecessary delay between presentations.  All talks are limited to the amount of time listed in the program.

  • Standard Audio Visual Package:  LCD projector, screen, laser pointer and wireless lapel microphone. 
  • Presenters: Presenting authors should bring their laptop computer, power cord, and any proprietary cords required by their computer.
  • Oral Presentation:  Invited talks are 30 minutes and contributed are 20 minutes (set up and Q&A are included within this timeframe).   A presentation must not start late or extend past the scheduled end time.  PowerPoint screen size is 16:9.
  • Audio Visual Assistance:  Only minimal audio-visual assistance can be expected from your session chair. If a problem arises, please relay the issue to the staff on-site, who will contact the appropriate personnel. 
  • Security:  ICMOVPE is not responsible for the security of any personal equipment.

 

Poster Presentation Guidelines for Presenting Authors

IMPORTANT NOTE: The presenter MUST be an author of the poster and a registered attendee.

The following information may assist you in preparing an informative and professional poster display.

  • Post your POSTER the day of your presentation.
  • Each presentation will be assigned a space and will be labeled with the number of the paper (e.g. PS-1.1, PS-1.2) and the presenting author’s name.  Poster board dimensions are:
  • U.S. Format – 84 inches (width) x 42 inches (height)
  • European Format – 213 cm (width) x 106 cm (height)
  • Poster size MUST BE smaller than the board dimensions stated above
  • The poster boards will accept pushpins which will be provided.
  • Display your material in large print so it may be read from a distance. Print TITLE and AUTHORS in extra-large print across the top of your display.  
  • Authors are responsible for setting up and removing their presentation materials. All posters must be removed by the designated time. The organizers are not responsible for posters not collected by the authors. The venue staff will discard all remaining posters that are not removed.

    Poster Schedule

    Tuesday, May 14:

    • Poster Authors Set-up: 1:00 pm – 4:00 pm
    • Poster Session: 4:00 pm – 6:00 pm
    • Poster Authors Tear-down: No later than 12:00 pm Wednesday

    Thursday, May 16:

    • Poster Authors Set-up: 1:00 pm – 4:00 pm
    • Poster Session: 4:00 pm – 6:00 pm
    • Poster Authors Tear-down: No later than 1:00 pm Friday
